Role Summary

We are seeking a proactive and detail-oriented Operations Support Officer to support day-to-day office operations, HR administration, employee engagement, travel coordination, vendor management, immigration support, and compliance activities. This role plays a key part in ensuring operational efficiency while supporting employees and leadership across multiple business functions.

Key Responsibilities

Office Administration & Operations

  • Manage daily office operations, records, documentation, and administrative processes.
  • Coordinate office supplies, equipment procurement, facilities management, and vendor relationships.
  • Serve as the primary point of contact for visitors, clients, and service providers.
  • Support process improvements and ensure compliance with company policies and procedures.

HR Administration

  • Maintain employee records, attendance, benefits, and HR documentation.
  • Support employee onboarding, offboarding, payroll coordination, and HR operations.
  • Assist with employee engagement initiatives and workplace programs.
  • Ensure compliance with HR policies and employment regulations.

Executive Support & Travel Coordination

  • Coordinate calendars, meetings, travel arrangements, and expense documentation.
  • Prepare reports, presentations, and business correspondence for leadership teams.

Event, Immigration & Compliance Support

  • Assist in planning and coordinating company events, training programs, and team-building activities.
  • Coordinate with immigration attorneys regarding visa processing, renewals, and compliance tracking.
  • Support engineering and operations teams with regulatory filings, certifications, audits, and compliance documentation.

Required Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field.
  • 2–5 years of experience in Office Administration, HR Operations, Executive Support, or Operations Coordination roles.
  • Working knowledge of HR practices, employee lifecycle processes, and office administration.
  • Experience with vendor management, event coordination, and travel administration.
  • Experience supporting immigration processes is preferred.
  • Exposure to compliance documentation, audits, or regulatory environments is a plus.

Work Model

Candidates must reside within the Dallas-Fort Worth (DFW) area and be available to work in-office approximately 3 days per week, with additional office attendance during company events, client visits, or business needs as required.
